About the Role

We are seeking a highly organised and proactive Executive Assistant to provide comprehensive administrative support to our senior leadership. You will manage complex calendars, coordinate meetings and travel arrangements, prepare correspondence and presentations, and serve as a key liaison between the executive and internal and external stakeholders.

In this role, you will handle confidential information with discretion, anticipate the needs of the executive, and ensure that day-to-day administrative operations run seamlessly. You will also support the executive in managing priorities and meeting deadlines.

The ideal candidate is professional, resourceful, and capable of thriving in a fast-paced environment with competing demands. Strong communication skills, impeccable attention to detail, and the ability to exercise sound judgement are essential.

Responsibilities

  • Manage and coordinate the executive s calendar, scheduling meetings, appointments, and events across time zones.
  • Organise domestic and international travel logistics including flights, accommodation, visas, and itineraries.
  • Screen, prioritise, and respond to emails, phone calls, and correspondence on behalf of the executive.
  • Prepare meeting agendas, take minutes, and track action items to ensure follow-through.
  • Draft, edit, and proofread reports, presentations, memos, and other business documents.
  • Coordinate with internal departments and external partners to facilitate smooth operations.
  • Handle confidential and sensitive information with a high degree of discretion and professionalism.
  • Manage office supplies, expense reports, and administrative budgets as required.

Requirements

  • Bachelor's degree in Business Administration, Secretarial Studies, or a related field.
  • Minimum of 3 years of experience as an Executive Assistant or Senior Administrative Officer.
  • Exceptional organisational and time management skills with the ability to handle multiple priorities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to maintain confidentiality and exercise discretion.
  • Strong interpersonal skills and the ability to interact professionally with senior stakeholders.
  • Proactive, resourceful, and able to work independently with minimal supervision.

Nice to Have

  • Professional certification in administrative or secretarial studies.
  • Experience supporting C-level executives or board-level officers.
  • Familiarity with project management and productivity tools such as Asana, Trello, or Notion.
  • Proficiency in a second language (French is a plus for pan-African organisations).
